Appointment slips the easy way

Are you on top of your appointment slips?

In the construction industry, we know that unforeseen challenges are a constant companion. Extra tasks, additional work and changes from the client can quickly send both schedule and budget off course.. This is where contract notes are your best ally.

What is a contract note and why is it important?

A contract note is a formalization of the changes made to the original contract. Contract notes provide clarity on the agreed work and ensure that the contractor and client agree on the changes. At the same time, it is your guarantee of payment upon completion of the work. Without a contract note, you risk being left without proof and losing your claim - with it in hand, you'll be in a strong position when it comes to settling project finances.

Although contract notes are not required by law, they are considered best practice in the industry. They prevent misunderstandings and provide peace of mind in projects where changes are the rule rather than the exception.

"It can quickly become expensive if the contract notes don't hold up legally. With a few simple adjustments, you can usually quickly ensure that the agreement stands strong in the event of a conflict."

Patrick Rask Buskbjerg, Attorney at Law, Molt Wengel

What should a contract note contain?

A crisp and transparent contract note should include:

A precise description of the change

The reason for the change and why it is necessary

A description of the change's impact on cost and schedule

Any revised drawings or specifications

Signatures from all parties to formalize the agreement

Accountability - Who makes the change and how do you ensure quality?

...and other points of importance to the agreement.

AB18 and contract notes - how are they related?

AB18 is not legislation, but a voluntary agreement that ensures fair conditions for both clients and contractors. The principles of AB18 are used in most construction projects today, but they only apply if agreed and stated in the contract.

Agreement forms are the practical tool that makes it possible to comply with AB18 in everyday life. The two are closely linked, as AB18 recommends written agreements for changes in construction projects. If AB18 is part of the agreement, agreement forms should be signed before work on the changes begins - with few exceptions.

Why use appointment slips?

Agreement sheets ensure that all parties agree on what the changes mean for both finances and schedule, so there is no doubt or conflict.

Without a signed contract note, the consequences can be serious. You risk not getting paid for work already done - and nobody wants that. With a signed contract note, the documentation is in place and you can work with peace of mind. This gives you the freedom to focus on what's most important: a construction process that runs smoothly and a construction budget that works.
